This Privacy Policy describes how Quick Intake, LLC, operating as QuickIntake (“QuickIntake,” “we,” “us,” or “our”), collects, uses, and shares information when you interact with AI-powered chat widgets deployed on behalf of our business clients (“Clients”). Please read this policy carefully.
1. Who We Are
QuickIntake is a software-as-a-service platform that provides AI-powered intake and concierge tools for local service businesses. We are headquartered at 2816 Woodbridge Crossing Ct, Midlothian, VA 23112. You can contact us at phil@quickintake.co.
When you interact with an AI chat widget powered by QuickIntake, you are interacting with our platform on behalf of the business that has deployed the widget (the “Client Business”). That Client Business has its own privacy practices, and we encourage you to review them.
2. Information We Collect
Information You Provide
When you use a QuickIntake-powered chat widget, we may collect:
- Your name
- Phone number or email address
- The nature of your service request or inquiry
- Any other information you voluntarily share in the conversation
Information Collected Automatically
We may also collect limited technical data such as:
- The date and time of your conversation
- The device type and browser used
- The Client Business’s widget you interacted with
We do not use cookies or tracking pixels on chat widget pages.
3. How We Use Your Information
We use the information we collect to:
- Deliver your message and inquiry to the Client Business
- Generate a structured lead record for the Client Business to follow up on
- Send the Client Business an email notification about your inquiry
- Improve the accuracy and performance of our AI chat platform
We do not use your information for advertising, nor do we sell your data to third parties.
4. How We Share Your Information
Your conversation data and contact information are shared with:
- The Client Business whose widget you used — they are the primary recipient of your inquiry
- Anthropic, Inc. — the AI provider that powers our chat responses (subject to Anthropic’s privacy policy at anthropic.com/privacy)
- Resend — our email delivery provider, used to notify the Client Business
- Supabase — our database and infrastructure provider
We may also disclose information if required by law, court order, or to protect the rights and safety of QuickIntake, our Clients, or the public.
5. Data Retention
Conversation records and lead data are retained for as long as necessary to serve our Clients and as required by applicable law. Client Businesses may request deletion of their customers’ data at any time by contacting us at phil@quickintake.co.
6. Your Rights — Virginia Residents
If you are a Virginia resident, you may have rights under the Virginia Consumer Data Protection Act (CDPA), including the right to:
- Know whether we are processing your personal data
- Access a copy of your personal data
- Correct inaccuracies in your personal data
- Delete your personal data
- Opt out of the sale of your personal data (we do not sell personal data)

7. Children’s Privacy
Our platform is not directed to children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has submitted information through our platform, please contact us and we will delete it promptly.
8. Security
We use commercially reasonable technical and organizational measures to protect your information, including encrypted data transmission (HTTPS), access controls, and secure cloud infrastructure. No system is perfectly secure, and we cannot guarantee absolute security.

We may update this Privacy Policy from time to time. We will post the updated policy on quickintake.co with a revised effective date. Your continued use of a QuickIntake-powered widget after any update constitutes acceptance of the revised policy.
